Session Two: Assignment One Question

Q:
Answer the following questions after viewing the video:
1. Which departments within the company are integrated within the Order-to-Delivery process?
2. Which steps are included in the Order-to-Delivery process?
3. What factors would you consider when deciding whether ERP is suitable or not for a small business?

Ans:
1. Sales and shipping department (operation & warehouse) are integrated within the Order-to-Delivery process.

2. When the sales representative received the Purchase Order from customer, they check the item status in inventory and customer data through system, if there are no problem, the sales representative will create the Sales Order.

Then, when the shipping department received the Sales Order messages automatically and immediately, they will create the Delivery Note and Packing List for arrange to delivery on schedule by Pick & Pack Manager. After that, they need to update the status in Sales Order. Sales representative can check the updated shipment status in system. Finally, they can send all shipping document to their customers by email.

3. I think ERP system is suitable for small business, as this software can help the company to automate and integrate the majority of its business processes, share common data and practices across the enterprise, allows the same data to be used by multiple functions and business processes, produce and access information in a real-time environment. This goal is to achieve major improvements in performance and reduce to take the mistake.

Would software and maintenance costs be a big issue for small businesses who are considering to install ERP ? How about the risk of business process reengineering ?

Of course, we consider the efficiency and costing to decide whether ERP is suitable to us for a small business.

For long-run business, ERP can make a good contribution to company such as account, sales and shipping departments, etc. It can integrate different functions to ensure efficiency. ERP system can centralize the database, as they can share common data such as item number, description and price, etc. It can minimize the typing mistakes occur.

Finally, the company can run their business more smoothly, productivity and efficiency.
